Running many clients on one board

A courier’s day starts with orders arriving from everywhere: a pharmacy chain posting to your API, a florist uploading a spreadsheet, a restaurant group sending webhooks, and a handful of walk-ins the dispatcher types in. PrivateMile accepts all of them and puts them on one board, each tagged with its client, its service level and its window.

Planning is by area and by clock. The optimizer proposes a shorter stop order that dispatch reviews on the map before applying. Auto-dispatch — nearest, round-robin, load-balanced or by zone — handles the routine assignments; the AI copilot answers “who can take two more stops in the east?” in plain language and waits for confirmation before changing anything.

Proof, payments and disputes

Every stop can require photo, signature, notes and a QR scan of the parcel. Cash-on-delivery is recorded at the door with the amount and method. When a client disputes a delivery, the evidence is attached to the order. When a driver’s cash bag is counted, the report already knows what it should contain.

How do our clients send us orders?

Each client can have its own API key and webhook endpoint, so their system posts orders directly. Clients without a system send a CSV — up to 2,000 orders per file with per-row error reporting — or your dispatcher enters them. Every order is tagged with its client for reporting.

Can we give a client visibility without giving them our whole board?

Their customers get branded tracking pages and notifications. For the client themselves, reports are broken down per account and can be scheduled and exported, so they get their numbers without access to the operation.

How is driver pay calculated?

However you pay: a base rate, per kilometre, per stop, per task, or a mix, plus bonuses. Distance is measured from completed work, so pay statements and cost reports agree with each other.

Does the driver app work in dead zones?

Yes, when you enable offline mode. Completions, proof photos, signatures and payments are held on the phone and synced safely when signal returns, with duplicate protection built in.
